Everyone in CrewdUp has one of four roles: Team Admin, Manager, Crew Member or Talent. The role decides what you see in the sidebar and what you can change. You can check yours on your profile, under Account Information.

    Short version

Team admins run the team and its billing. Managers run events and staff them. Crew and talent answer invites, raise a hand for open events and keep their profile up to date. Only team admins and managers use paid seats.

    Team admin

The person who creates the team is its first team admin. A team admin can do everything a manager can, plus:

    • Open Team Admin and Billing from the sidebar.
    • Create workspaces.
    • Manage team members and change their roles (Starter).
    • Invite anyone by email, including other team admins (Starter).
    • Create join links for managers, crew or talent, and deactivate them. See join links.

    Manager

    Managers do the day-to-day work:

    • Create events.
    • Add crew and talent to the team's rosters.
    • Assign crew to event positions.
    • Approve or decline crew and talent who raise a hand.
    • Create join links for crew and talent only. A manager can't invite another manager.

A manager can edit the events they own, and events another manager has shared with them.

    Crew and talent

Crew and talent mostly work from email. They can:

    • Accept or decline invites from the email buttons, without signing in.
    • Sign in to see events from the managers they're linked to.
    • Raise a hand for open events and positions. Talent can also raise a hand for single games on a multi-day event.
    • Edit their own profile.

Crew and talent can't create events. See respond to an invite and raise your hand.

What each role sees in the sidebar

    RoleSidebar
Team AdminEvery manager item, plus Team Admin and Billing
ManagerDashboard, Calendar, Events, Table View, Crew Members, Talent Members, Notifications, Rundowns, Reports, Assets, Asset Reports, Cases, Switch Workspace, Help and guides
Crew MemberDashboard, Calendar, Events, Crew Members, Help and guides
TalentDashboard, Calendar, Events, Talent Members, Help and guides

Some manager items need a higher plan and show a lock icon until you upgrade.

Which events crew and talent see

Crew and talent see an event on their dashboard only when both of these are true:

    1. The event is owned by a manager they're linked to.
    2. The event has Visible to Crew ticked. New events start with it off.

A crew member with no linked manager sees no events on their dashboard. This happens when someone joins from a join link that names no manager, or accepts an email invite. To fix it, assign a manager to them.

    Seats and billing

    • Manager seats: every team admin and manager on the team uses one. Free has 1, Starter up to 3, Pro up to 10.
    • Crew and talent: free, with no seat charge. Every crew and talent record counts toward your plan's crew and talent limit, whether or not the person has signed up.

    See plans and limits.

    Things to know

    • Crew can see their team-mates. The Crew Members directory is open to crew, with names, email addresses and phone numbers. Tell your crew before you add them.
    • Billing is for team admins. Only team admins can open Billing, subscribe or change the plan.
