CrewdUp

Event Staffing SoftwareStaff every event with the right production crew

CrewdUp is event staffing software for production teams: build events with the positions you need, invite crew from your roster, watch confirmations come in and send everyone the details automatically.

"Event staffing software" covers a wide range of tools. Some are built for hourly shift work: servers, security, brand ambassadors. CrewdUp is built for production crew: the camera operators, A1s and A2s, technical directors, LED techs, stagehands and talent that make a broadcast, conference session or live show happen. Those bookings work differently from hourly shifts. Each event has specific positions, crew are often freelance, and the details (call times, venue notes, tech books) matter as much as the booking.

The event staffing workflow, step by step

    1. Build the event and its positions

Create an event with its date, venue and timezone, then add the positions it needs: Camera 1, Camera 2, A1, TD, Graphics and so on. Running a season or a multi-day conference? Upload a schedule from CSV (Starter and up) instead of entering events one at a time, and organize them into workspaces by season, client or stage.

    2. Fill positions from your roster

Your crew and talent roster is tagged by skill, so when you're filling the A1 slot you only see people who can mix. Assigning someone sends them an email invitation they can accept or decline in one click, without creating an account.

    3. Track confirmations, not text threads

The event view shows every position as confirmed, pending, declined or open. You can see in seconds whether a show is fully staffed, and when someone drops out you know which position to fill.

    4. Send the details automatically

Confirmed crew receive the event details with a calendar invite attached. On Starter and above, CrewdUp sends automated confirmation emails and a reminder five days before the event, and you can distribute the event's tech book to confirmed crew.

    5. Run the show and report on it

Build show rundowns (Starter and up), track the gear going to each event with asset and case tracking (Pro), and compare each event's budgeted crew rates against actual rates. Custom reports and CSV export (Pro) let you see staffing across an entire season.

Built for these kinds of events

    What CrewdUp isn't

CrewdUp doesn't run payroll, handle timesheets or send SMS. It focuses on scheduling, confirming and informing production crew. If you need hourly shift scheduling for large hospitality or security teams, a general workforce tool is a better fit.

    Pricing

One flat monthly price per team, with crew and talent always free. Start on the Free plan (one manager, ten crew or talent, 25 events) or try Starter or Pro free for up to 31 days. Compare plans.
