CrewdUp is priced per team, not per person. Each plan sets four limits: manager seats, crew and talent, workspaces and events. Crew and talent are always free. They count toward your crew and talent limit, but they never cost a seat.
Team admins can see how close the team is to each limit on the Billing page, in the Usage card.
Short version
Free covers 1 manager, 10 crew and talent, 1 workspace and 25 events. When you hit a limit, CrewdUp blocks the new item and shows an upgrade dialog. Nothing you already have is removed.
The plans

Starter and Pro come with a 31-day free trial when you choose them at sign-up. Enterprise has no self-serve checkout: contact CrewdUp to set it up. The pricing page has the full feature list.
Features by plan
- Starter adds table view, rundowns, bulk CSV upload and the team admin panel.
- Pro adds custom reports, assets, cases, shipments and asset reports.
- Enterprise adds priority support, dedicated onboarding and a custom contract.
In the app, sidebar items above your plan show a lock icon. Clicking one takes a team admin to Billing.
What counts toward each limit
| Limit | What's counted |
|---|---|
| Manager seats | Every team admin and manager on the team |
| Crew and talent | Every crew and talent record on your rosters, combined, whether or not the person has signed up |
| Workspaces | Workspaces that aren't archived |
| Events | Every event owned by the team's managers, past events included |
To free up room, archive a workspace you no longer need, or delete old events. Past events keep counting until you delete them. See archive or delete a workspace.
When you get close
At 80% of any limit, CrewdUp shows a toast: "Approaching plan limit", with how much of that limit you've used. It appears once per browser session for each limit. On the Billing page, that usage bar turns amber and shows how much is used.
When you reach a limit
CrewdUp stops you adding the next item and opens an upgrade dialog. The dialog says which limit you reached, for example "Your free plan allows up to 25 events." It has two buttons: Not now and an upgrade button.
- The upgrade button starts a monthly checkout. To pay annually, upgrade from Billing instead.
- The dialog title doesn't always name the right plan yet. If you're on Starter and reach a limit, go to Billing and choose Pro.
- If your team is already paying, the button reads Manage subscription.
- Managers, crew and talent see the message with no upgrade button, asking them to check with their team admin.
Features above your plan work the same way: the dialog tells you the feature needs Starter or Pro.
When a trial ends
- Nothing is deleted. Events, crew and workspaces above the Free limits stay where they are.
- Your team uses the Free limits again, so you can't add more until you're under them or you subscribe. Starter and Pro features stop working.
- No email is sent before or when the trial ends. Team admins see a trial banner at the top of the app: it shows how many days are left, and turns amber in the last 7 days.
See upgrade or change your plan to subscribe.
Things to know
- A failed payment counts as Free. If a payment fails, your team uses the Free limits right away. Contact CrewdUp if that happens.
- Free doesn't expire. There's no time limit on the Free plan.
