CrewdUp keeps a record of who has been paid for each event. You tick Paid on a person's budget row and add the date, and the event's Unpaid count goes down. On Pro you can also mark many rows paid at once from a report.
This is tracking only. CrewdUp doesn't run payroll, send payments or notify crew. Pay people the way you normally do, then record it here.
Short version
On the event's Budget & Actuals tab, tick Paid on the row, then click Paid Date and pick the date. To mark many at once, open a Pro table report with a crew or talent name column, tick the rows and click Mark as Paid.
Mark one person paid
- Open the event from Events in the sidebar and click the Budget & Actuals tab.
- In Crew & Talent Budget, find the person's row.
- Tick Paid. It saves right away.
- Click the Paid Date cell (it shows a dash when empty), pick the date, then press Enter or click away.
Ticking Paid doesn't fill in a date, and setting a date doesn't tick Paid. Do both if you want the record complete.
To undo, untick Paid on the row.
Vendor expenses have their own Paid and Paid Date columns in the Vendor Expenses card, which work the same way. See track actuals and expenses.
Mark many rows paid from a report
Bulk marking is in Reports, which is on Pro. It works only on a table report that includes the Crew Member Name or Talent Member Name column and isn't grouped. Without a name column, rows combine into one per event and there are no checkboxes. See build a table report.
- Click Reports in the sidebar and open or run the report.
- Tick the rows you've paid, or use the select-all box.
- Click Mark as Paid (N). It only appears once a row is ticked.
- In the Mark N record(s) as paid dialog, check the Paid date. It defaults to today.
- Click Confirm. You'll see "N record(s) marked as paid", and the report runs again.
The bulk dialog sets both Paid and the date on every selected row.
Bulk can't be undone in bulk
Bulk only marks rows paid. To unmark a row, open that event's Budget & Actuals tab and untick Paid there, one row at a time. Check your selection before you click Confirm.
What happens next
Only the record changes:
- The event's Unpaid card and the "N / M paid" table footer update.
- No email goes to the crew member, and crew can't see their paid status.
- No payment, payroll export or invoice is created.
Things to know
- Bulk only updates events you can edit. It changes rows on events you own or collaborate on with Edit or Full access. Other rows are skipped without a warning, so the toast count can be lower than the number you ticked. If none of your selection can be edited, you'll see "Failed to mark records as paid".
- The report can lag. After the re-run, the paid column can show the old value for up to 15 seconds. Run it again if it looks unchanged.
- Selection resets. Changing page or re-running the report clears your ticks, so mark one page at a time.
- Vendor expenses aren't in bulk. Mark them paid on each event's Vendor Expenses card.
- Unpaid counts every crew and talent row, including open rows with no one assigned, so the count can stay above zero after everyone booked is paid.
- No tax or payroll paperwork. CrewdUp doesn't handle W-9s, 1099s or direct deposit.
