    Add attachments to an event

Upload PDFs and spreadsheets to an event, such as schedules, credentials or camera plots, and they go out attached to the tech book email.

The Attachments card on an event holds the files your crew need: the game schedule, a camera plot, a parking map. Each file you add here is attached to the tech book email when you send it.

    Short version

Open the event and find the Attachments card in the sidebar. Click Upload File and pick a PDF, CSV or Excel file up to 10 MB. It uploads straight away.

    What you can upload

    File typesPDF, CSV, XLS, XLSX
SizeUp to 10 MB per file
    Files per uploadOne

Images and Word documents aren't supported. Save a Word file as PDF first.

    Upload a file

    1. Open the event from Events in the sidebar.
    2. On the Event Details tab, find the Attachments card in the right-hand column.
    3. Click Upload File. If you don't see it, click Cancel or Save Changes first: the button is hidden while you're editing the event.
    4. Pick one file. It uploads as soon as you choose it.

You'll see "File Uploaded" and "File has been successfully attached to the event." Each file then shows its original name, its size and the upload date. Repeat for each file.

If the file is too big or the wrong type, you'll only see "Upload Failed" and "Failed to upload file. Please try again." Check the type and size and try again.

    Download or delete a file

    • Download: click the download icon on the row. The file saves under its original name. If it doesn't work, you'll see "Download Failed".
    • Delete: click the trash icon on the row.

    Delete has no confirmation

The trash icon removes the attachment straight away, with no "are you sure" step. You'll see "File Deleted". To get it back, upload it again.

How attachments reach the tech book

Tech book email. When you send the tech book, every attachment on the event is attached to the email. The email lists them under "Attached Documents". A linked rundown is attached as a PDF too. Sending a tech book is on Starter and Pro. See send a tech book.

Tech book PDF. The downloaded PDF lists the attachments, but it doesn't include their contents. An attached PDF shows up as a placeholder "Attached Document: {name}" page. Send the email, or share the files separately, when crew need the actual documents. See download a tech book PDF.

Who can see and manage attachments

    • See and download: anyone who can open the event page, crew and talent included.
    • Upload and delete: team admins, and managers who own the event or have Edit or Full access to it. View Only collaborators can download but not change files.

    Things to know

    • One file at a time. You can't pick several files in one go.
    • Files go out with every tech book send. Remove anything out of date before you send.

    Checklist

    • Files saved as PDF, CSV or Excel, each under 10 MB
    • Nothing confidential attached
    • Old versions deleted before sending the tech book
    • Tech book email sent if crew need the actual files
