CrewdUp BlogCrew Scheduling: Spreadsheets vs. Software for Production Teams

Almost every production team schedules crew in a spreadsheet at first, and for good reason. Here's when that still works, where it quietly breaks, and what to look for when you outgrow it.

Spreadsheets are flexible, free and familiar. A tab for the season, a row per event, columns for each position: it's a perfectly reasonable way to plan crew for a handful of shows. The problems don't show up in the grid itself. They show up in everything around it: the messages, the confirmations, the version everyone is looking at, and the knowledge that lives in one person's head.

    When a spreadsheet is enough

    • One person does all of the scheduling.
    • You staff a few events a month with a small, stable crew.
    • Crew rarely change and everyone knows the drill.
    • Nobody else needs to see the schedule in real time.

If that's you, a well-organized sheet plus a disciplined messaging habit may be all you need for now.

    Where spreadsheets break down

    Confirmations live somewhere else

The sheet says Alex is on Camera 2. Did Alex actually accept? The answer is in a text thread, an email or a voicemail, and the sheet only knows if someone remembered to update it. With more events, the gap between "scheduled" and "confirmed" is where shows go short-staffed.

    Every change means more messages

When a call time moves or a venue changes, the sheet updates in one place. The crew don't see it. Someone has to message everyone affected, and hope they all read it. Calendar invites go stale the same way.

Version drift and single points of failure

Copies get downloaded, emailed and edited. Two managers each update their own version. And when the one person who understands the sheet is out sick on the busiest weekend of the season, nobody else can run it.

    No memory of the past

Who has worked replay for you before? Who declined the last three offers? What did crew actually cost on last month's shows? A sheet can hold that information, but rarely does in a way you can find quickly.

    Signs it's time to switch

    • More than one person schedules crew, or more than one person needs to see who's confirmed.
    • You staff overlapping events, multiple venues or multiple clients.
    • You've had a show go short because a confirmation was missed.
    • You spend more time sending and chasing messages than planning the show.
    • You can't easily answer "what did crew cost us this season?"

What to look for in crew scheduling software

    1. Events built from positions, so you staff roles, not just names in cells.
    2. A roster you can filter by skill to find the right person quickly.
    3. Low-friction invitations. Freelancers work for many companies. If accepting a booking requires an app download or a new login, some won't bother.
    4. Live confirmation status per event: confirmed, pending, declined, open.
    5. Automatic details and reminders, including calendar invites with the right time zone.
    6. Room to grow: separate seasons or clients, reporting, gear tracking.
    7. Pricing that fits a freelance model. Per-user pricing can punish a large crew bench. Look for plans that don't charge for every freelancer.
    8. An easy way in: import your existing roster and schedule instead of retyping them.

    Making the move

Switch at a natural break, like the start of a season or a new client, rather than mid-run. Export your roster and upcoming events to CSV, import them, and run one event in parallel before retiring the sheet. Keep the old sheet as an archive.

CrewdUp is built for exactly this step: events with positions, a skill-tagged roster, CSV import, one-click invites crew accept from their email without an account, confirmation tracking, calendar invites and reminders, and flat per-team pricing where crew are free.
